Handling of Personal Information

Division of Student Exchange, University of Tsukuba (hereafter referred to as the “University”) strictly complies with the Act on the Protection of Personal Information Held by Incorporated Administrative Agencies, etc., and handles personal information confidentially based on the University of Tsukuba Rules for Protection of Personal Information.

(1) Purpose of Use of Personal Information

Personal information obtained from application documents, test results, etc., are used for work related to admission selection and admission procedures (including introduction of events within the University), and for surveys and research regarding admission procedures.
Note that after admission it is also used for work related to educational matters (academic instruction, etc.), student support (exemption from tuition fees, applications for scholarships, health management, etc.), and related work.

(2) Provision of Personal Data to Third Parties

If the University is to provide the personal data obtained to a third party for a purpose of use that is outside the scope of use, the purpose of use will be disclosed or notified to the student in advance, and the student’s agreement will be obtained. Note that the personal information can be provided without the agreement of the student in the following cases.

- Circumstances based on laws or regulations

- When it is necessary to provide personal data to a third party to protect the life, body, or property of people (including corporations), and it is difficult to obtain the agreement of the student concerned

- When it is necessary to provide personal data to a third party in order to promote improvement in public health or healthy rearing of children or young people, etc., and it is difficult to obtain the agreement of the student concerned

- When a related organization is cooperating with a national body, a local public body, or an organization that has been commissioned by them in the execution of work prescribed by law or regulation, and there is a possibility that that work would be hindered by obtaining the agreement of the student concerned, the University may provide personal data to a third party.

(3) Outsourcing the Handling of Personal Data

The University may outsource in whole or in part the work of handling personal data within the scope of its purpose of use to an external organization. In this case an outsourcing company that is deemed to appropriately handle personal data will be selected, the necessary measures to prevent leakage of personal data by proper management and maintenance of the confidentiality, etc., of the personal data will be determined in a contract, etc., and appropriate management will be implemented.
